How to book a rental apartment in Barcelona?

Short term rentals

Visit our page to see the listings of our temporary rental apartments in Barcelona. From the search engine, you can directly select your key criterias and specify your search using filters. Once the apartment is or the apartments are selected, there are several ways to contact us: send us a message from the contact form of the apartment page, ask to be recontacted, communicate with us live via WhatsApp, call us, etc. We will answer all your questions, give you useful information and explain the steps of the booking. Then, two options, either we organize a tour of the apartment, or we can directly make a reservation. Consult here the documents required to book an apartment for a short term rental.

Long term rentals

Through the search engine located on long term rental listings in Barcelona page, you will be able to indicate your search criteria and add filters to refine your results. Contact us as soon as you have found an apartment that interests you and we will arrange a visit as soon as possible. We will answer all your questions. If you wish to book it, we will have to make a pre-reservation at the agency in order to show your file to the owner, who will make the final decision. Once agreed, we take care of the final reservation and organize the delivery of keys and signature of the contract with the owner. How are rental apartments in Barcelona equipped and furnished?

Short term rentals

Short term rental apartments in Barcelona are fully furnished and equipped. These are “a ready to move in” type of housing. The only things missing are your personal belongings and towels. Bed linen and kitchen linen are included.

Long term rentals

The long term rentals can be furnished, semi-furnished or unfurnished. They are rarely furnished. Always refer to the apartment description to check the furnishings and equipment of an apartment. When in doubt, feel free to contact us and we will answer your inquiry shortly.

Tourist rentals

All our holiday apartments in Barcelona are fully equipped and furnished. All you have to do is bring your personal belongings. All the linen of the apartment is included, sheets, towels, kitchen linen, everything is there to ensure your optimal comfort. Have a question or something is missing ? What are the costs to rent an apartment in Barcelona?

Short term rental

To book a short term rental apartment in Barcelona, you will need to provide :

  • Two month deposit that will be returned to you at the end of your tenancy after a careful inventory check.
  • Your first month of rent (be careful, if you arrive after the 15th of the month, you will also be asked to pay the following month as well).
  • Agency fees correspond to one month’s rent (+VAT) and are decreasing according to the duration of stay: 30% discount on fees for contracts from 32 days to 3 months and 20% for stays between 4 and 6 months.

Long term rental

The costs to be expected to rent an apartment are as follows :

  • Two months of deposit returned at the end of the rental contract after careful inventory.
  • The first month of rent.
  • Agency fees corresponding to 10% of an annuality (+VAT).

Tourist rental

When you book a tourist apartment everything is included in the price. Only a deposit will be required upon delivery of the keys. This will be done through an authorisation via a bank imprint (without debit on your card) and once the check out inventory is made, this authorization will be automatically canceled 8 days after your departure.

What are the charges and how are they calculated (water, gas and electricity)?

Short term rental

Each month, in addition to the rent, you will pay a provision on charges. This amount is calculated according to the number of rooms in the apartment (1 room 90€, 2 rooms 120€, 3 rooms 160€, 4 rooms and beyond 220€). It is an estimate of the loads corresponding to the consumption of electricity, gas and water. At the end of the contract, the meters are read and the total amount will be updated to match your actual consumption. If you consumed more than the amount of the provision, we will charge the difference of the deposit. Conversely, if you consumed less than the provision, we will credit you the difference on the deposit.

Long terms rental

Charges are not included in the rent, they are the responsibility of the tenant. Loca Barcelona takes care of the change of ownership procedure with local supplier companies. You will receive the invoices directly at home.

Tourist rental

Everything is included in the price : water, gas, electricity and internet are already calculated in the price of the stay. No additional charges are to be expected.

How do the check-in and the check-out take place?

Short term rental

Check – In: meet at the agency or on site for key collection. An inventory will be given to you that you will be asked to give us signed within 8 days. During the check-out, we will look at the inventory signed at the beginning of the contract together during an appointment made in advance on the day of your departure.

Long term rental

Check-in: key collection is done at the agency after the signing of the contract with the owner. An inventory of the property will be given to you and you must return it signed within 8 days. Check-out : on the day of your departure, we will carry out your inventory check on the basis of the document signed at the beginning of the contract.

Tourist rental

Check-in: it will be done at the time of key collection, directly at the apartment on the day of your arrival. An inventory will be given to you and you will be asked to consult it carefully because it will be used for the inventory for your departure.

How and when is the deposit returned?

Short term rental

The deposit will be returned to you within 30 days from the end date indicated in your contract. It will be returned to you by bank transfer to the account of your choice.

Long term rental

The amount of the deposit will be returned to you within 30 days from the end date of your contract. This amount will be returned to the bank account of your choice.

Tourist rental

At the time of your check-in, we will make a bank imprint of your credit card. This amount will not be debited, it is an authorization of your bank entity to a direct debit. This authorization will be automatically cancelled 8 days after your departure.

What happens when there is an incident in a rental apartment?

Short term rental

As part of your monthly rental agreement with Loca Barcelona, you will have an emergency number available 24/7, 365 days of the year. Depending on the emergency, we will respond as quickly as possible. Lost your keys ? If we have a duplicate and our offices are open we will be happy to provide you with the copy. Outside our opening hours, we will facilitate the contact of a locksmith partner. Do you have a washing machine breakdown ? A technician will intervene to repair the damage within 24-48h. Each emergency or damage entails a precise analysis of the problem in order to organize an appropriate intervention as soon as possible.

Long term rental

In the case of a long-term apartment rental with a “basic” contract, you will be in direct contact with your landlord who will help you resolve the issue.

With an “optimal” or “exclusive” contract, you will enjoy a privileged attention service. An emergency number active 24/7 and 365 days of the year, will be communicated to you so that we can organize an intervention depending on the incident or damage you encounter in your apartment.

Tourist rental

You have at your availability an emergency contact number through which you can notify us of any incident encountered in your apartment. Accordingly, we will organise a technical intervention as soon as possible to avoid any inconveniences during your stay.

How do I know if my pet is allowed to stay in my rental apartment?

If you would like to bring your pet, please let us know ! We have many pet-friendly apartments. Whether it is for temporary, long-term or tourist rental, it is indicated in the apartment description whether it accepts animals.

What types of home insurance do the rental apartments in Barcelona have?

In Spain, it is the owner that is responsible for the insurance of a rental housing. Yet, be careful, the accommodation will be insured for any fire or flood type of incident and only for the dwelling and not the contents! If you want to insure your personal belongings against this type of situation or in the occurrence of a theft, contact us, we offer insurance solutions for a stay in complete serenity!

Thefts and burglaries in Barcelona

Be careful, while Barcelona is a pleasant city and a popular tourist destination, it also makes it a prime target for pickpockets and burglars. Never leave a bag on the ground or unattended, always on you or on a chair near your sight that is difficult to access, avoid valuables in backpacks or in plain sight to avoid attracting attention. Always close your windows and double doors when you are not at home. And avoid leaving windows open at night. This is not just a precautionary measure, it is prevention ! Thefts are unfortunately extremely frequent.

How to do an “empadronamiento”

To register at the Barcelona city Hall, you must request an “empadronamiento”. This document is necessary in case you wish to register with the public medical system, for example or in the case of a process to obtain the NIE. This is a quick procedure that requires making an appointment online that you can book through this link. For temporary rentals, you can ask us to have a certificate that proves your intention of stay for the minimum stay period requested by the town hall. For long-term rentals, the rental contract will be sufficient. Contact us if you have any doubt or questions regarding the empadronamiento.

How to proceed to obtain a NIE

You have to be patient ! Appointments are made online and unfortunately it is difficult to get one quickly. We recommend that you carry out this procedure, if you have the opportunity, from your home country at a Spanish embassy or consulate. If you are already in Barcelona, arm yourself with patience and get an appointment online by clicking on this link. Conversely, there are agents in the city who will take care of finding you an appointment against remuneration (between 50€ and 150€ depending on if you want to be accompanied).
